Program Assistant

Based at Delhi and Lucknow

Jhpiego is an international, non-profit health organization affiliated with The Johns Hopkins University. For 40 years and in over 150 countries, Jhpiego has worked to prevent the needless deaths of women and their families. Jhpiego works with health experts, governments and community leaders to develop strategies that help countries care for themselves by training health care workers, strengthening health systems and improving delivery of care. 

Jhpiego designs innovative, effective and low-cost health care solutions that are breaking down barriers to high-quality health care for the world’s most vulnerable populations. Jhpiego uses its global presence and technical leadership to develop technology-based innovations and systems for significant global health impact. 

In India, Jhpiego works across nineteen states in close collaboration with national and state governments by providing technical assistance in the areas of family planning; maternal, newborn and child health; and pre-service nursing and midwifery education. These projects are funded by USAID, Bill & Melinda Gates Foundation, Norway India Partnership Initiative (NIPI), David & Lucile Packard Foundation, Children’s Investment Foundation Fund (CIFF), MacArthur Foundation, Department for International Development (DFID); MSD for Mothers and others.

Jhpiego is hiring for the positions of Program Associate based and Delhi and Lucknow. The position will provide programmatic, administrative, and logistic support to the Pre-Service program team. 


Responsibilities:
• Serve as a key contact for all types of programmatic assistance.
• Assist in preparing correspondence, documents as well as training material such as manuals and audiovisual aids. Manage a number of drafts of large documents, ensuring consistent formatting through multiple rounds of technical reviews and related editing. 
• Prepare reports as necessary.
• Assist in development of finished materials including selection of vendor, coordination with the program team for selecting designs, printing, dispatching and other related activities.
• Coordinate and ensure proper documentation for hiring new consultants for the assigned programs.
• Provide support to the program team to ensure timely completion of all planned activities as per the pre-existing program work plans. 
• Handle procurement of program related material including training models, books, and manuals etc. as per procurement guidelines.
• Assist Communications team in drafting success stories and facts in consultation with the program team members.
• Review and maintain stock inventory of training and program related material periodically.
• Manage logistic arrangements of all the trainings including budgeting, planning the event, collating material, making arrangements for participants’ travel and reimbursements in consultation with Finance. 
• Assist in maintaining proper documentation of all financial transactions related to workshops, trainings and procurement.
• Assist in conducting meetings, including preparing agenda, taking and circulating minutes of the meeting.
• Coordinate and communicate in a professional manner with the Jhpiego country and state teams, donors and other stakeholders to support effective program implementation.
• Develop an understanding of FP/ RH clinical and training related concepts and terminology to more comfortably support the program team in materials development and activity planning.
• Maintain program and office files both electronic and physical documentation.
• Review/ submission of travel claims with required supporting, activity budget preparation, procurement actions, advance settlements against activities etc.
• Perform other duties as assigned by the supervisor.

Abilities/Skills:
• Attention to details and ability to produce documents and coordinate activities with little supervision. 
• Comfortable working in a multicultural team.
• Ability to manage/ prioritize work from several sources. 
• Excellent organizational skills.
• Fluency in spoken and written English and Hindi.
• Ability to develop good working relationships with other agencies, stakeholders and other organizations.
• Willingness to learn and adapt new things.

Qualifications/Knowledge:
• Bachelor’s degree in arts, commerce, social sciences or humanities.
• 3-5 years of relevant work experience in programmatic and administrative support function.
• Computer proficiency (Microsoft Word, Power Point, Excel, Outlook).
• Experience working with the development sector/ INGOs would be preferred.
