UN VOLUNTEER DESCRIPTION OF ASSIGNMENT

Preamble:
The United Nations Volunteers (UNV) programme is the UN organization that promotes volunteerism to support peace and development worldwide. Volunteerism can transform the pace and nature of development and it benefits both society at large and the individual volunteer. UNV contributes to peace and development by advocating for volunteerism globally, encouraging partners to integrate volunteerism into development programming, and mobilizing volunteers.
In most cultures volunteerism is deeply embedded in long-established, ancient traditions of sharing and support within the communities. In this context, UN Volunteers take part in various forms of volunteerism and play a role in development and peace together with co-workers, host agencies and local communities.

In all assignments, UN Volunteers promote volunteerism through their action and conduct. Engaging in volunteer activity can effectively and positively enrich their understanding of local and social realities, as well as create a bridge between themselves and the people in their host community. This will make the time they spend as UN Volunteers even more rewarding and productive.

7.  Brief Project Description:

The Operations Unit of UN Women Multi Country Office is seeking services of a UNV for HR and Admin. functions for a period of one year to provide support to the unit in various activities performed such as HR & Finance functions and administrative support. The UNV will report directly to the HR Associate, Finance Associate & the Admin. Assistant
The summary of the Key Functions to be performed by the UNV will be:
Provide support HR services
Provides administrative, Procurement and logistical support
Provide accounting, finance and administrative support

UN Women’s Multi Country Office, based in New Delhi, India, covers four countries of the region i.e.  Bhutan, India, Maldives, and Sri Lanka.

11.  Description of tasks:
Under the direct supervision of Operations Manager (please complete with the function of the supervisor) the UN Volunteer will undertake the following tasks:
The Operations Unit of UN Women Multi Country Office is seeking services of a UNV for HR, Admin. And Finance functions for a period of one year to provide support to the unit in various activities performed such as HR, Finance and administrative support. The UNV will report directly to the HR Associate, Finance Associate & the Admin. Assistant for day to day functions.

The summary of the Key Functions to be performed by the UNV will be:

1. Implements HR services focusing on achievement of the following results:
• Provision of inputs of contracts (SSAs, SCs) and tracking of HR transactions.
• Provision of inputs to the UNWOMEN SRO staffing table and SRO rosters.
• Provide support in collection of background information/ documents for submissions to the CRP, LAMRC & AMRC.
• Extracting, inputting, copying and filing data from various sources.
• Maintenance of proper filing system for HR records and documents including electronic record management
     
2.   Provides administrative, Procurement and logistical support, focusing on achievement of the following results:
• Maintenance and issuance of office supplies
• Logistic support to workshops/events
• Provide support in collection of background information/ documents for submissions to the LAMRC & AMRC related to Procurement activities.
• Provide support to maintenance of premises and common services.
• Maintain files and records relevant to travel, procurement, office premises and related maintenance.
• Maintain records on assets management and preparation of required reports.

3. Provide accounting, finance and administrative support, focusing on achievement of the following results:
• Provide support in processing of financial documentation (vouchers, supporting documents, etc.) and maintaining internal expenditures control system by ensuring that vouchers processed are matched and completed, transactions are correctly recorded, and posted in Atlas; travel claims, payment orders and other entitlements are duly processed after verification.
• Maintenance of records/ documents/files relating to finance/operations in a user friendly manner.
• Preparation of routine correspondence, faxes, memoranda and reports.
• Extracting, inputting, copying and filing data from various sources.
• Maintenance of the proper filing system for financial records and documents including electronic record management.
• Be responsible for assigned correspondence and other finance related tasks.
 
Furthermore, UN Volunteers are encouraged to:
• Strengthen their knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and take active part in UNV activities (for instance in events that mark IVD);
• Be acquainted with and build on traditional and/or local forms of volunteerism in the host country;
• Reflect on the type and quality of voluntary action that they are undertaking, including participation in ongoing reflection activities;
• Contribute articles/write-ups on field experiences and submit them for UNV publications/websites, newsletters, press releases, etc.;
• Assist with the UNV Buddy Programme for newly-arrived UN Volunteers;
• Promote or advise local groups in the use of online volunteering, or encourage relevant local individuals and organizations to use the UNV Online Volunteering service whenever technically possible.

12.  Results/Expected Output: (Please complete with the required information)
Smooth Functioning of the Operations unit with updated documents/records. Efficient support to each function under – HR/Finance/Admin.
• A final statement of achievements towards volunteerism for development during the assignment, such as reporting on the number of volunteers mobilized, activities participated in and capacities developed.

13.  Qualifications/Requirements:
1. University Degree
2. Relevant Experience of 2 years in HR, Accounts and Administration.
Competencies and knowledge
• Ability to perform on a variety of tasks
• Additional qualification in computer applications would be an added advantage.
• Experience in the usage of computers and office software packages (MS Word, Excel, etc.).
• Experience in handling of web-based management systems.

14.  Living Conditions:
New Delhi and the surrounding National Capital Region is a large and bustling metropolis of some 14 million people undergoing rapid changes. The capital city is an administrative, cultural and commercial center with modern amenities and well connected by air. It is a safe place with large expatriate community drawn from embassies, UN agencies, MNCs and foreign businesses. It has short moderate winter and long hot summer.

15.  Conditions of Service
A One year contract; monthly volunteer living allowance (VLA) intended to cover housing, basic needs and utilities, equivalent to INR 33,696; settling-in-grant (if applicable); life, health, and permanent disability insurance; return fares (if applicable); resettlement allowance for satisfactory service.
