1. POSITION VACANT: Admin Executive, Bharat Rural Livelihood
Foundation (AE-BRLF), New Delhi
2. ORGANISATION BACKGROUND:
Government of India (GOI) has
initiated Bharat Rural Livelihoods Foundation (BRLF) as
an independent organization under the Societies Registration Act to facilitate
civil society action in partnership with State and Central Government, for
transforming livelihoods and lives of rural households, with an emphasis on
women, particularly in the Central Indian Tribal Region.
BRLF is a unique and
first-of-its-kind initiative and the Foundation is constituted
as a partnership between Government on the one hand and the private sector
philanthropies, public and private sector undertakings (under Corporate Social
Responsibility) on the other.
Major functions of BRLF will be to provide
financial grants to Civil Society Organizations (CSOs) to meet their human
resource and institutional costs for up-scaling of proven interventions, invest
in institutional strengthening of smaller CSOs and capacity building of
professional human resources working at the grassroots. Alongside, BRLF will
continuously facilitate projects receiving its grant support through all levels
of Government to ensure smooth flow and utilization of Government funds to
rural communities and poor households under the mega Centrally Sponsored
Schemes for promoting livelihoods of the poor.
The General Body and Executive Committee of BRLF are
constituted by eminent individuals as well as ex-officio representatives from
private philanthropies, public and private sector organizations, financial
institutions, State Governments and GOI.

3. JOB DESCRIPTION/ RESPONSIBILITIES:
BRLF is seeking to hire a competent
admin and logistics professional for the vacancy for Admin Executive
(AE). The AE shall provide quality support to the Accounts
Officer and be responsible for comprehensive administrative and
logistics support to the BRLF Office.
Key Responsibilities:
(1) Providing comprehensive administrative, logistical and
secretarial support to the BRLF team,
(2) Ensuring the execution of cost effective hotel and travel contracts (car, train and flight bookings), negotiating the best service and rates for the organization, in coordination with the Executive Assistant
(3) Providing support and oversight for travel arrangements, meetings and related logistics for BRLF staff and visitors, as necessary
(4) Making arrangements for periodic travel and meetings by the BRLF team
(5) Assisting the Executive Assistant in taking care of logistics needs of Committee Members viz. travel bookings and stay arrangements, booking the venue for meetings, recording of minutes of the meeting, etc.
(6) Helping establish policies and procedures for the purchase of printed materials and office consumables in conformity with requirements; Negotiating price, quality, and delivery; Approving invoices, etc.
(7) Ordering stationery and equipment, ensuring maintenance of equipment, issue of AMC contracts, etc.
(8) Supervising and monitoring service providers for office cleaning, security and other services
(9) Supporting financial objectives by anticipating office related requirements; Submitting information for office operations for the purposes of budget preparation; Scheduling expenditures, etc.
(10) Reviewing and implementing the organization’s insurance, health and safety policy as necessary, covering both staff and consultants
(11) Assisting in the implementation of sexual harassment policy under the direction of the CEO.
(12)Supporting the data entry needs of the finance team, communications team and others, as and when needed
(13) Developing and instituting efficient filing and retrieval systems
(14) Coordinating translation work
(15) Responsible for provision of day to day data entry support to the Accounts Team and web site management support to the Communications Officer, as and when required
(16) Contributing to team effort by accomplishing related results, as needed.
4. QUALIFICATIONS, EXPERIENCE AND COMPETENCIES:

4. QUALIFICATIONS, EXPERIENCE AND COMPETENCIES:
Qualification:
Bachelors degree in any discipline.
Experience:
(1) Minimum five years experience of supporting administration and logistics roles, with a reputed organization
(2) Experience of working with Foundations, Grant making institutions, Government and/or quasi-government organizations
(3) Experience in office administration
(4) Experience of supporting office procurement, travel logistics and overseeing service providers
(5) Experience in tracking and reporting office expenses vis-à-vis budgets.
Skills and Competencies:
(1) Good knowledge and experience of MS Office, especially Excel
(2) Good knowledge of data entry, filing and record maintenance
(3) Language competency in English and Hindi.

Language Requirements:
The positions require fluency in both oral and written
communication in English and Hindi.
5. COMPENSATION OFFERED:
The offered compensation for this position is attractive and
competitive to market rates. The offer made to the selected candidate shall be
commensurate with qualifications, experience and salary history.
