Summary
The position is responsible for consolidating of sponsorship data as mentioned below; additionally the job entails coordinating key activities in the sponsorship function in terms of LINCS & SRIS data base management, while maintaining corporate status on SR systems, files and backup of critical information at the National Office.
DUTIES/RESPONSIBILITIES
LINCS Management:
- Process replication daily,
- Prepare National Director Welcome Letters and send to sponsors on a weekly basis
- Generate Child Status Slips (CSS), Welcome & Bonding letter requests on a weekly basis,
- Generate Request Assignment Materials (RAM) on a bi-weekly basis,
- Import DFC data on a monthly basis
- Generate Child Initiated Letter Requests on a monthly basis
- Despatch requests logs/MCS/CSS to all partners by email
- Ensure all CIFs are with narratives and photographs of children are attached by running reports
- Upload children’s photos through FTP on a daily basis
- Ensure ID reject and quality reject photos are downloaded and resubmitted to IO through FTP
- CF Alliance-wise, Child Status-wise, Age & gender-wise
- SR details including children against each partners in various status’, partner status’, Letter of Agreement ( LOA) , Project Description Form (PDF), Partner start/end dates, quota/enrollment, Sponsored, Available/Unavailable Status
- Provide analytical report when required
- Special requests on child success stories, photos for birthday/special cards to ChildFund Alliance Offices, ChildFund Information and Communication Officer Etc
Partner Newsletter: Ensure revision once in three years
Pre-notification letter: Guide partners to prepare pre-notification letters and sent to IO
Data Management
Prepare quarterly/annual reports, assist in budget preparation, and give hand-hold support to generate SSIMS reports, analyze data, identify critical issues and overcome the same with right interventions
Child Verification Process (CVS):
- Communicate with IO regarding the CVS Schedule and LINCS data import
- Share information with partners
- Support partners on CVS Website entries
- Quality Assurance & Management – Work with M & E and provide support/reports when required during the CVS process
- Prepare materials for self-certification and consolidated reports to submit to Regional/International Office
- Ensure all partner database is updated and maintained in the system
- Provide support for SR staff both at NO and partners
- Communicate with Developer Support Services/IT service
- Generate management reports for analysis and program intervention
- Provide information as required by the Developers/IT
- Establish/maintain data of children and sponsors
- Sponsor assignment
- Child – Sponsor Communication
- Providing Induction to new staff
- Giving orientation to partners
- Training on SR/SRIS/CVS etc
- Visit partners to give handhold support
- Involve in discussion on BRIDGE matters and provide necessary information when asked for
- A Bachelor’s degree in any development discipline. A Master’s degree would be an advantage
- Excellent computer skills (Windows environment)
- A minimum of five years’ experience in a progressive INGO/NGO environment with an mix of field and sponsorship systems
- Speaking, reading and writing of at least one local language would be an advantage. Willingness to learn other languages/dialects desirable.
