PURPOSE OF THE POST
The Administrative Assistant will provide the support to the Chief and the professional staff of Health Section, assisting in administrative functions and organizational tasks to ensure efficiency in office management.

MAJOR DUTIES AND RESPONSIBILITIES 

1. Receives screens, logs and routes correspondence, attaches necessary background information and maintains follow-up system. Drafts non-substantive correspondence and ensures follow-up. Clears correspondence for conformity with established procedures and accuracy of statements before being signed by supervisor. 
2. Searches office files and records relating to a variety of topics for information and reference. Selects information and records in specified format, or on the basis of general instructions for use by others in preparing reports, correspondence, technical papers, project or programme plans and general reference documents.
3. Arranges appointments and maintains supervisor’s calendar, receives visitors, screens telephone calls and answers queries with discretion.
4. Arranges meetings, both internal and external, some involving high-ranking officials, and takes minutes and/or notes at meetings.
5. Maintains policy, confidential and general files. Selects and makes pertinent abstracts, and undertakes searches for information. 
6. Makes travel arrangements for the supervisor and performs liaison duties with other units.
7. Classifies and codes material relating to a number of subject matter areas, and maintains general office files or provides guidance to the registry clerk in performing this duty.
8. Perform other relevant tasks as assigned by the supervisor.

QUALIFICATIONS, SKILLS AND COMPETENCIES

Education 
Completion of secondary education, preferably supplemented by technical or university courses related to the work of the organization. 

Work Experience
A minimum of 5 years of progressively responsible administrative or clerical work experience is required.

Language Proficiency 
Fluency in English required. Knowledge of the local working language of the duty station is an asset.
