ADMINISTRATION OFFICER
Reporting to the Human Resource and Administration Director, the Administration Officer is responsible for providing administrative coordination for the national office to include, office services, internal communications, transport management and asset management
DUTIES/RESPONSIBILITIES
  • Facility administration including property/lease agreement management, ground maintenance, office space allocation and bills payment administration
  • Develop and maintain NO records management and retention procedures
  • Manage all administrative service contracts and building repairs and maintenance
  • Maintain and update a comprehensive inventory of ChildFund’s assets
  • Oversee the disposal of inventory items according to ChildFund’s policy and procedures
  • Oversee transport and ensure repair, maintenance and insurance of ChildFund’s vehicles
  • Manage and control stationary and stock supplies, provide regular inventory for stock items and ensure proper warehousing, stock management, stock control systems and reporting
  • Coordinate the implementation of service contracts or rentals/leases and ensure timely renewal of contracts or sourcing of service providers in line with policy and procedure
  • Manage ChildFund’s property and general insurance needs
  • Prepare and implement guidelines for administrative support functions
  • Build the capacity of staff and field partners in administration policies and procedures
  • Ensure compliance with the Occupational Safety and Health Act
  • Other duties as maybe assigned

REQUIRED QUALIFICATIONS/EXPERIENCE
  • Degree in business administration, social sciences or related discipline
  • At least 4 years’ experience in a similar position. Experience with an INGO is desirable
  • Excellent interpersonal skills and ability to work in a multi-cultural setting
  • Excellent communication skills with fluency in English and Swahili
  • Knowledge of MS Office computer software
