DESCRIPTION/ RESPONSIBILITIES:
Reporting to the Programme
Support Manager (PSM), the incumbent shall be responsible for
providing assistance to the Programme Support functions of KF at New Delhi, to ensure the smooth
running of theKF Delhi
Office, as well as for providing support to programme
operations at KF’s State
Offices. S/he shall also provide support to the Country
Leader (CL) in
organising and planning his professional duties.
Key Job
Responsibilities:
(1) Maintaining appropriate
Administrative, Human Resource and IT records; Also maintenance of filing
systems and ensuring up-to-date filing (both hard copy and electronic filing),
including personal records, leave records, annual leave plans, etc.;
(2) Preparing contracts and other background documents for vendors and other agencies;
(3) Coordinating with vendors, agencies and consultants, as and when required for tracking their output;
(4) Supporting the PSM in completing procurement requirements for KF Offices;
(5) Coordinating the recruitment and selection process for various positions arising with KF, under the guidance of the PSM;
(6) Maintaining and updating contact details of KF staff and partners, once in every quarter;
(7) Scheduling internal and external meetings;
(8) Managing the CL’s diary, including screening of all requests for meetings with him;
(9) Coordinating travel and logistics for visits to and within India for all Kusuma Staff;
(10) Coordinating for monthly back-up with the IT support agency;
(11) Any other task assigned.

QUALIFICATIONS, EXPERIENCE AND COMPETENCIES:
Qualification:
Applicants must have a Bachelor’s
in Business Administration. Candidates having Masters in Business
Administration shall be preferred.
Experience:
Applicants must have at least
three years experience in the HR and Administration functions with a reputed
charity, donor, or private sector organization, including knowledge of managing
office systems and procedures.
Essential
Skills and Competencies:
(1) Ability and motivation to
work under pressure and to tight deadlines;
(2) Excellent word processing skills and a high-level of competence in Microsoft Office
applications, including Word, Excel and PowerPoint. Prior experience of Apple hardware and Mac applications, would be an asset;
(3) Excellent organizational, planning and interpersonal skills.

5.
WORKING DAYS AND LEAVE:
The Consultant shall be required
to work on all KF working days and will be provided two
days leave every month, which cannot be accumulated, carried forward, or
en-cashed.

CONTRACT:
The duration of the Consultant’s
contract shall be six months, with scope for extension upto one year.

Gross remuneration budgeted for
the position is INR 25,000/- to 35,000/- per month, depending upon the
experience and qualifications of the selected candidate. The Consultant will
need to provide an invoice at the end of every month, for time spent supporting KF.
