UNICEF, the world’s leading children’s rights
organization working for the rights of children, seeks a fixed-term appointment
for the post of Executive Assistant.
PURPOSE OF THE POST:
The incumbent will be providing support to Chief, Field Office.
Assist in administrative functions and organizational tasks to ensure
efficiency in office management.
MAJOR DUTIES AND RESPONSIBILITIES:
1.Searches office files and records relating to a variety of
topics for information and reference. Selects information and records in
specified format, or on the basis of general instructions for use by others in
preparing reports, correspondence, technical papers, project or programme plans
and general reference documents
2.Receives screens, logs and routes correspondence, attaches necessary background information and maintains follow-up system. Drafts non-substantive correspondence and ensures follow-up. Clears correspondence for conformity with established procedures and accuracy of statements before being signed by supervisor.
3.Arranges appointments and maintains supervisor’s calendar, receives visitors, screens telephone calls and answers queries with discretion.
4.Maintains policy, confidential and general files. Selects and makes pertinent abstracts, and undertakes searches for information.
5.Makes travel arrangements for the supervisor and performs liaison duties with other units.
6.Arranges meetings, both internal and external, some involving high-ranking officials, and takes minutes and/or notes at meetings.
7.Classifies and codes material relating to a number of subject matter areas, and maintains general office files or provides guidance to the registry clerk in performing this duty.
8.Perform other relevant tasks as assigned by the supervisor.

QUALIFICATIONS, SKILLS AND ATTRIBUTES
EDUCATION:
Minimum completion of secondary education; thorough knowledge of modern office procedures; Basic knowledge of specialized practices and thorough knowledge of office procedures and of related work.

Minimum Five years of admin/secretarial experience.
