Job Description:

The Assistant Manager – Travel and Logistics Support will be responsible for providing travel and logistics related support to the Chairman’s office ensuring high quality and accuracy of work. S/he would be expected to seamlessly manage complex travel requirements of the Chairman. To be able to perform the assigned role effectively, one should be self-motivated, pro-active, organized and should be able to adapt to a wide variety of tasks, with a proven ability to work with strict deadlines and demonstrate high attention to detail.

The person will be involved in
  • Liaising with General Manager – Chairman’s Office for making timely and accurate travel bookings for the chairman, who frequently undertakes international travel across the globe
  • Planning and processing end-to-end travel for the Chairman and entourage including purchase of tickets, PO preparation; arrangement of shipments and meet the defined norms and regulations of the foundation
  • At times, directly coordinate and understand the travel requirements from the designated people at foundations, organizations or offices of polity/leaders etc., where the chairman has been invited
  • Maintain travel records and budget reports and periodically share with the finance team
  • Prepare travel itineraries & coordinate with vendors or associates for necessary logistical services, arrangements for visa issuance, hotel reservations, transportations, interpreter etc.
  • Ensure implementation of cost saving measures through negotiation with travel service provider, arrangement of the most optimal route and appropriate itinerary
  • Prepare detailed reports for reconciliation of settlements from internal finance department and/or raise travel claims and follow up for payment from other parties as per agreed terms
Candidate must possess the following
  • Detail Orientation – Performs tasks accurately and thoroughly; double-checks the accuracy of information and work product
  • Planning and Organizing – Ability to identify what needs to be done and to develop an appropriate plan of action in order to accomplish objectives within deadlines
  • Communication Skills - Expert level written and verbal communication skills
  • Negotiation & Influencing Skills - The ability to persuade and influence others towards a point of view or a course of action while working collaboratively with them
Qualification: Graduate
