Job Description
Description of duties:
To assist and support the virtual emergency operations centre system of the Strategic Health Operations Centre (SHOC), including but not limited to:
  • Assist in the planning and organization of event and emergency meetings, video/voice conferences in the SHOC. Provide assistance to HQ Event Management Teams, Regional Offices and Field teams on a daily basis and during crisis or major public health emergency responses. Monitor, triage on a daily basis SHOCs generic E-mail account, directly respond to EMT's / EST's requests and/or route appropriately sensitive correspondence or communications during the response.
  • Track and give access when required to sensitive secure share drives and other information.
  • Provide support to SHOC infrastructure, liaise with suppliers, schedule the planning and intervention of the maintenance contractors and/or replacement of defective equipment in SHOC, including ICT equipment, general supplies and requests from the response team. Update the SHOC Emergency Point of Contact systems, rosters including the organization and rosters utilized in SHOC, namely executing configurations, set up and testing of telecommunication mobile devices and other field communication technologies independently and/or in collaboration with Alert and Response Operations (ARO) logistics and central IT.
  • To provide assistance to WHO field and emergency communications, with emphasis on communication and, serving as point of contact for a range of SHOC emergency management software applications to assist emergency operations and crisis management; including activating, staffing, and de-activating the SHOC facility outside normal business hours.
  • To perform all other related duties and responsibilities as assigned, including replacing and backstopping for others.
Education:
  • Essential: Completion of secondary school education, complemented by IT studies.

Skills:
  • The incumbent maintains and updates his/her proficiency in the use of modern office technology through in-house courses, on-the-job training or self-training.
  • He/she keeps abreast of changes in procedures and practices, rules and regulations, organizational structure, in the department, the cluster and WHO, to be able to brief others and explain procedures. Excellent interpersonal skills, tact, discretion and diplomacy.
  • Excellent organizational with ability to interact professionally and effectively with staff and visitors at all levels in an international and multicultural environment.
  • Sensitivity to cultural differences.
  • Capacity and willingness to work as a member of a team, in a proactive manner, provide assistance in other areas of work when necessary.
  • Proven ability to work independently and obtain results under pressure.
Experience:
  • Essential: At least 5 years' relevant experience, including practical experience in developing and testing IT solutions.
  • Desirable: Experience in providing video meeting support, IT services with a customer focus.
Languages:
  • Essential: Expert knowledge of English required.
  • Desirable: Intermediate knowledge of French
