2. ORGANIZATION BACKGROUND:
Ipas Development Foundation (IDF) is a Section 25 non-profit company, founded
in 1973, is a global nongovernmental organization dedicated to ending preventable
deaths and disabilities from unsafe abortion. Through local, national and
global partnerships, Ipas works to ensure that women can obtain
safe, respectful and comprehensive abortion care, including counseling and
contraception to prevent future unintended pregnancies.
Ipas has been working in India for over a decade
towards strengthening training systems, service delivery of comprehensive
abortion care services and advocacy initiatives to increase women's access to
safe abortions, with the aim of making a positive impact on the health of
Indian women. Ipas engages closely with the government at
the national and state level to provide technical assistance to strengthen the
comprehensive abortion care policy and program interventions. Ipas program’s geographic coverage
currently includes 11 states - Bihar, Jharkhand, Maharashtra, Madhya Pradesh,
Rajasthan, Gujarat, Uttarakhand, Chhattisgarh, Assam, West Bengal and Meghalaya
- where they work with the public health system to ensure improved access to abortion
and contraception services for women.

3. JOB DESCRIPTION/ RESPONSIBILITIES:
Reporting to the concerned State Program Manager, the Executive Administration (EAs) shall be responsible for the smooth functioning of State Offices and equipment, including communication systems. The EAs shall also be responsible for managing all vendors and service providers associated with the office.

Key Roles and Responsibilities:
(1) Managing the front office, including day-to -day supervision
of staff deputed by housekeeping and vendor firms;
(2) Ensuring smooth functioning of office equipments, maintenance of filing system and contact databases;
(3) Managing the resource center by updating relevant records and maintaining a close oversight of the flow of materials (viz. materials requested and materials returned);
(4) Maintaining stocks of office supplies and other materials, ensuring timely replenishment of stocks;
(5) Coordinating travel of staff and consultants in a timely manner; Also providing assistance for organizing workshops, conferences and other events, as necessary;
(6) Certifying bills and invoices and ensuring their timely processing;
(7) Providing any other assistance, as necessary.

4. QUALIFICATIONS, EXPERIENCE AND COMPETENCIES:
Qualifications:
Bachelor’s Degree from a reputed institution/ university.
Experience:
Minimum one to three years of relevant experience in office administration.

Skills and Competencies:
(1) Strong computer skills with proficiency in MS Office, as well as standard database management software;
(2) Fluency in written and spoken English, Hindi and the local language;
(3) Confident and self-driven;
(4) A good team player.
