Administrative & Human Resources Assistant, Delhi, India

The Need
International Justice Mission (IJM) is seeking an Administrative and Human Resource Assistant who works closely with the Director of Administration to ensure smooth and efficient functioning of the office. This position supports the administrative and human resource aspects of the field office and is based in Delhi. This position reports to the Director of Administration.

Responsibilities
• Assist the Director of Administration with recruitment by advertising open positions and screening and interviewing potential candidates;
• Maintain recruiting files and work with the Director of Administration on the hiring process and documentation;
• Review staff monthly timesheets;
• Make travel arrangements for staff trips outside Delhi (except Field Office Director), including airfare and hotel accommodations, following IJM’s procurement policy;
• Work with Director of Administration to organize and coordinate IJM meetings, conferences and staff retreats;
• Coordinate and schedule transportation for the office, including use of IJM vehicles or hiring a driver and/or third party vehicle;
• Organize and coordinate office visits for IJM headquarters staff and donors, including trip agenda and hotel accommodations;
• Ensure operation and maintenance of office equipment, establishing and maintaining vendor relations to further this end;
• Organize and replenish office stationary and supplies, establishing and maintaining vendor relations to further this end;
• Answer incoming phone calls in a professional and courteous manner and ensure front desk decorum is maintained.
• Maintain calendar of special events, including holidays, staff birthdays and anniversary dates;
Participate in any casework related activity as and when needed.
• Carry out additional assignments at the supervisor’s request.


Required Skills and Experience
• Fluency in oral and written communication in English & Hindi.
• Bachelor degree from accredited university
• Post-graduation in Human Resources preferred
• Relevant work experience.
• Excellent interpersonal and writing skills.
• Expertise in MS word and Excel.
• Self-motivated, articulate and able to manage multiple tasks.
• Knowledge and understanding of financial software and principles of accounting & bookkeeping.

• Sustained positive attitude, personable and mature judgment;
• Willing to travel as per the need;
• Genuinely reliable and consistently punctual;
• Works well under stress and delivers as per timelines with accuracy and is able to multitask;

• Effective organizer, planner and implementer.

The Mission
International Justice Mission is a human rights agency that secures justice for victims of slavery, sexual exploitation and other forms of violent oppression. IJM lawyers, investigators and aftercare professionals work with local officials to ensure immediate victim rescue and aftercare, to prosecute perpetrators and to promote functioning public justice systems.
