Assistant to CEO, Bharat Rural Livelihood Foundation
1. POSITION VACANT: Executive Assistant to CEO,Bharat Rural
Livelihoods Foundation (EA-BRLF), New Delhi
2. ORGANISATION BACKGROUND:
Government of India (GOI) has
initiated Bharat Rural Livelihoods Foundation (BRLF) as
an independent organization under the Societies Registration Act to facilitate
civil society action in partnership with State and Central Government, for
transforming livelihoods and lives of rural households, with an emphasis on
women, particularly in the Central Indian Tribal Region.
BRLF is a unique and
first-of-its-kind initiative and the Foundation is constituted as a partnership
between Government on the one hand and the private sector philanthropies,
public and private sector undertakings (under Corporate Social Responsibility)
on the other.
Major functions of BRLF will be to provide
financial grants to Civil Society Organizations (CSOs) to meet their human
resource and institutional costs for up-scaling of proven interventions, invest
in institutional strengthening of smaller CSOs and capacity building of
professional human resources working at the grassroots. Alongside, BRLF will
continuously facilitate projects receiving its grant support through all levels
of Government to ensure smooth flow and utilization of Government funds to
rural communities and poor households under the mega Centrally Sponsored
Schemes for promoting livelihoods of the poor.
The General Body and Executive Committee of BRLF are
constituted by eminent individuals as well as ex-officio representatives from
private philanthropies, public and private sector organizations, financial
institutions, State Governments and GOI.

3. JOB DESCRIPTION/ RESPONSIBILITIES:
Reporting to the Chief Executive Officer, BRLF, the EA
to CEO will be primarily responsible for providing consistent,
high-level support to the CEO and assist in Human Resource and
Public Relations functions.
The post holder shall provide substantial organisational,
administrative, logistical as well as research support to the CEO.
S/he will assist in the recruitment process for new staff appointments and
provide oversight of logistics for BRLF visitors and various
Committee Meetings. The incumbent will also be responsible for preparing
various briefing notes and conducting secondary research, mining data bases for
various reports, as required by the CEO.
Key Responsibilities:
(1) Providing effective organizational, logistical and research
support to the CEO, including various administrative and
secretarial duties, organizing all correspondence, appointments, travel
arrangements and related logistics for and providing feedback and reminders on
a regular basis;
(2) Preparing draft reports, letters on behalf of the CEO; Preparing briefing notes and summaries of key documents, as needed;
(3) Maintaining regular contact and liaison with key contacts and agencies as directed by the CEO and acting as a filter for all visitors, enquires and contacts; Coordinating BRLF meetings and recording of minutes and major decisions;
(4) Assisting the CEO in the efficient functioning of the Project Grantee and Selection Committee, the Executive Committee Meetings as well as the General Body Meetings;
(5) Taking care of logistics for Committee Members viz travel bookings and stay arrangements, booking the venue for meetings, recording of minutes of the meeting;
(6) Assisting the CEO in the management of staff performance appraisals;
(7) Managing and assisting the recruitment process for all new appointments including the completion of reference checks;
(8) Assisting in the preparation of staff appointment letters, maintaining personnel files and allotting contract number to consultancy contracts;
(9) Providing support and oversight of appointments, travel arrangements and related logistics for all BRLFvisitors as required;
(10) Overseeing hotel and travel contracts (car, train and flight bookings) and negotiating the best service and rates for the organization in coordination with the Admin Assistant and under the guidance of the Chief Finance Officer;
(11) Providing direction to the Administration Assistant.

5. QUALIFICATIONS, EXPERIENCE AND COMPETENCIES:
Qualification:
Applicants must possess a Bachelors Degree in any discipline.
Experience:
(1) Minimum five years experience of working as an executive
assistant to senior management, or handling the role of a senior administrator
in an organization;
(2) Applicants having prior experience of working with Foundations, Grant making institutions or Government/ quasi-Government institutions, shall be at advantage;
(3) Must possess demonstrated experience of conducting secondary research;
(4) Experience/ orientation to HR is desirable;
(5) Experience/ understanding of the development sector is desirable;
(6) Experience of working with Government or Government created Missions/ Societies, is desirable.

Skills and Competencies:
(1) Good knowledge and proficiency in using MS Office, especially

6. COMPENSATION OFFERED:
The offered compensation for this position is attractive and
competitive to market rates. The offer made to the selected candidate shall be
commensurate with qualifications, experience and salary history.
7. APPOINTMENT: This is a full-time
position and the initial contract will be offered for a period of three years,
renewable, based on performance.
8. LANGUAGE REQUIREMENTS:
The position requires fluency in both oral and written
communication in English and Hindi.

based at New Delhi.
