ROLE PURPOSE:
The role holder will provide a professional co-ordination and support service to the Member Growth team with a specific focus on helping support the coordination of key team projects with an aim of ensuring that we are able to service members as required.

Support the Member Growth team with project coordination on key projects, monitoring progress against key milestones of the work plan and communicating with main project stakeholders.

In addition the role will provide administrative/logistical support through facilitating travel arrangements for the team meetings throughout the year, ensuring efficient and effective use of budget. 

SCOPE OF ROLE:

Reports to: Head of Business Operations

Staff reporting to this post: None

Budget Responsibilities: No direct budget responsibility but given the level of travel undertaken by the organisation cost efficiencies should be a core focus.

Role Dimensions: This role will work with colleagues across both Save the Children International and the wider Save the Children movement.

KEY AREAS OF ACCOUNTABILITY :
Project Coordination
  • Coordinate, arrange and facilitate communication/engagement between the Member Growth team and the various stakeholder representatives and departments on key strategic projects.

Administration
  • Monitor track the team budget and process invoices Set-up a tracking of key projects especially as it related to associated consultancy contracts, budgets and project reporting timelines.
  • Maintain filing of team documents and correspondence as necessary
  • Assist the team in organising and running large meetings and events
  • Assist the team by coordinating team meetings and setting up calls for key project calls
  • Develop strong, positive relationships with relevant stakeholders to the Member Growth team
  • With finance person manage smooth flow of offshoring process, including the tracking of invoices against budgets, related to the Member Growth investment markets
  • Act as the focal person for new team members, working closely with HR/IT to ensure a smooth on boarding process.

Knowledge Management
  • Ensure that OneNet is reflective of the team’s work and help maintain it as a storage place for useful materials for members on Member Growth specialist areas
  • Oversee the Member Growth filing structure to ensure that it evolves and matches the Member Growth workplan to ensure improved efficiency and engenders knowledge sharing
  • Supporting regular communication cycle for member growth

Other
  • Carry out any other duties either in addition to or instead of those outlined above which may reasonably be required from time to time, in order to assist the team in meeting their responsibilities and working most effectively.

QUALIFICATIONS 
No specific qualifications are required for this role

EXPERIENCE AND SKILLS
·         Experience in a similar role, preferably within the NGO sector and/ or in an international environment
·         Highly developed organisational awareness
·         Some experience in project management techniques and tools would be a distinct advantage
·         Sound judgement and an ability to effectively prioritise multiple tasks in a constantly changing environment
·         Ability to adopt a pro-active approach and offering solutions as appropriate
·         Sound knowledge of office practices, procedures and administrative systems including filing systems. Competent in use of Microsoft Office including Word, Excel, PowerPoint and Outlook.
·         Some experience of planning and organising meetings and events, with a strong attention to detail
·         Ability and experience of tracking and monitoring a budget
·         Proven ability to work effectively at an international level  gaining trust and confidence with both internal and external stakeholders
·         Strong written and oral communication skills, fluent in English, with an eye for detail
·         Ability to liaise and communicate effectively with a broad range of people at all levels, across different cultures and to act with credibility, discretion, tact and diplomacy both within and without the organisation.
·         Maintain a calm disposition and positive outlook particularly when working under pressure
