Administrative (Finance Assistant - Capital) - Medecins Sans Frontieres (Apply by: 01 April 2014)

Position: Administrative-Finance Assistant (Capital)

Location of Job: New Delhi

Duration: 12 months (renewable)

Start Date: ASAP

Salary Package: INR 25,405/- (Not negotiable)

• Support in bank/cash management and recording in accordance with specific mission guidelines
• Other administration such as house contracts, utility bills, taxes management
• Liaison with Accounting and Compliance Unit (ACU) and Branch Office (BO) team on day to finance matters 

Main Tasks & Responsibilities: 

Finance and book-keeping
• Responsible for checking of BooX data on regular basis from project as well as coordination.
• Assist Finco Assistant to monitor cash-flow regularly for the mission.
• Ensure timely payment of rent and other utility bills.
• Support Finance department for monthly financial hardcopy preparation
• Act as a first line contact for preparation and coordination of audit (external/internal)
• Support Assist Finco in  monthly closing and reporting in accordance with the yearly timetable and as per the mission Finance guidelines
• Responsible for preparation of draft balance specification and BCR on monthly basis.
• Responsible for communicating any financial irregularities noticed to direct supervisor for further follow up
• Assist in checking and processing monthly payroll for project and coordination.
• Responsible for data verification and reconciliation for monthly TDS payment
• Assist in preparation and submission of quarterly TDS return
• Participate in budget preparation and revision process as per department requirement
• Liaison with ACU and BO team on day to day finance and admin related matters


• Prepare and maintain all rental/lease contracts to ensure timely renewal/cancellation as required
• Assist in setting up and maintain a proper filing and documentation system (hard and soft copy) in finance department.
• Initiate, maintain and improve on office administrative procedures
• Coordinate with PR officer/Secretary regarding travel arrangement for all official visits of Finance staff

Other duties

• Work as a backup for bookkeeper or Asst Finco (on day to day matter only) as and when requires
• Work as a backup for project bookkeeper if required
• Any other duties delegated by the line manager.

Key Requirements:

• Graduate or Diploma, preferably in Accounting/ Finance/ Administration
• Minimum1 year of experience in Accounting/Finance /Administration
• Ability to organize & priorities workload independently, using initiative when appropriate.
• Attention to detail and accuracy
• Able to integrate into a multi-cultural team and cooperate with co-workers.
• Good spoken & written English; Essential good understanding of local language(s)
• Ability to maintain confidentiality & diplomacy
• Able to work independently as well as part of a team
• Able to be flexible in taking up tasks outside of regular job responsibilities as required.
• Good knowledge of MS Office especially MS Word and MS Excel
• Punctuality and ability to act with responsibility
